Chasing Documents

One of the biggest bottlenecks in accounting is waiting for clients to send you their invoices, receipts, and bank statements. Complyax automates this entirely via the Client Records module.

The Collection Tracker

Navigate to the Client Records page to see the Collection Tracker. This table provides a live look at your outstanding document requests across all clients. It shows:

  • The total number of items missing.
  • The date the last chaser was sent.
  • Which communication channels were used (Email vs WhatsApp).

Sending Reminders

You no longer need to write manual emails asking for files.

  1. From the tracker, you can click the Remind button next to an individual client to send them a targeted chase.
  2. Alternatively, use the Bulk Remind feature to blast a request to all clients with outstanding items simultaneously.

The system will automatically dispatch a professional message via Email (and WhatsApp, if configured) containing a secure, one-click link to their Client Portal.

Receiving Documents

When a client uploads a file via their portal, the system automatically registers it.

  • The missing item count in the Collection Tracker decreases.
  • Any tasks on your Compliance Calendar that were marked as “Blocked” will automatically clear, signaling that the accountant can begin work.
